Information we collect
Quoti may collect information you provide through account registration, the Business Health Scan, Nonprofit Health Scan, Personal Financial Wellness Scan, consultation requests, payments, email, phone, scheduling, portal messages, documents and approved services. This may include your name, contact information, account type, business or nonprofit information, household financial estimates, assessment responses, goals and service records.
Personal Financial Wellness information
The Personal Financial Wellness Scan may collect estimates concerning income, essential expenses, debt payments, savings, emergency reserves, financial habits and goals. Quoti uses these estimates to calculate educational results and organize possible next steps. The scan does not require banking passwords, full Social Security numbers, complete card numbers or access credentials, and clients should not submit them.
How information is used
Information may be used to authenticate accounts, route clients to the correct portal, calculate requested assessments, prepare consultations, deliver approved services, maintain client records, process payments, send operational communications, prevent duplicate notices, protect Quoti systems, improve the client experience and meet legal or recordkeeping obligations.
Automated email and portal communications
Quoti may send account confirmation, security, scan-completion, appointment, payment, portal-message, document, task and engagement emails. Protected scan answers, detailed financial information and sensitive documents remain in the secure portal rather than the email body. Quoti records delivery status and provider message identifiers to prevent duplicates and troubleshoot delivery.
Optional communications and choices
Marketing, inactive-client check-ins, newsletters and optional promotional communications are separate from necessary account or service messages. Where required, Quoti will obtain consent, identify the sender, provide a valid mailing address and include a working unsubscribe method. Opting out of optional messages does not stop security, payment, appointment or active-service notices.
Payments
Payment information is entered through the payment processor. Quoti may receive transaction identifiers, payment status, amount, service description and limited billing details needed for records and support, but Quoti does not intend to store full card numbers or card security codes in its client database.
Sensitive information
Do not submit banking passwords, full Social Security numbers, unnecessary account credentials, complete card numbers, medical records or unrelated sensitive documents through public forms, ordinary email or portal messages. When sensitive documentation is necessary for an approved engagement, Quoti will identify an appropriate secure method.
Service providers
Quoti may use service providers for website hosting, authentication, database storage, transactional email, scheduling, video meetings, payments, file storage, security and other operational functions. Information is provided only as reasonably necessary for the applicable function and remains subject to contractual, technical and legal safeguards.
Separate personal and business records
Quoti is designed to keep Personal Financial Wellness records separate from business or nonprofit scans and engagements. A client using both workspaces may access them through one login, but the records remain categorized separately.
Retention
Quoti retains information only as long as reasonably necessary for the purpose collected, an active or anticipated service relationship, dispute resolution, security, accounting, tax, contractual and legal obligations. Retention periods may differ by record type. Information may be deidentified or deleted when no longer reasonably needed, subject to legal holds and required records.
Security
Quoti uses administrative and technical safeguards that may include authenticated access, role-based restrictions, encrypted transport, private portal routes, delivery controls and activity logging. No internet transmission or storage system can be guaranteed completely secure. Clients should protect passwords and promptly report suspected unauthorized activity.
Your choices and requests
You may contact Quoti to request access, correction, updating or deletion of information you provided, or to change optional communication preferences, subject to identity verification and applicable legal or recordkeeping requirements. Requests may be sent to hello@quoticonsulting.com.
Children
Quoti’s client accounts, financial assessments and paid consulting services are intended for adults and authorized organization representatives. They are not directed to children under 13. A parent or legal guardian should contact Quoti before providing information about a minor.
Policy changes
Quoti may update this policy when services, providers or legal requirements change. The current effective date will appear on this page. Material changes may also be communicated through the website, portal or email when appropriate.
