Document the Work Before Adding More Work

Growth often exposes operational weaknesses that were easy to overlook when the business was smaller. Before adding customers, employees, or locations, document the processes that protect quality and accountability.

Start with recurring work

List the tasks that happen daily, weekly, monthly, and quarterly. Identify who owns each task, what triggers it, and when it must be completed.

Define the expected result

A useful procedure explains more than the steps. It describes what successful completion looks like, where records are stored, and how quality will be checked.

Create a backup

No critical process should exist only in one person’s memory. Assign a backup owner and make sure the instructions can be followed without the original owner present.

Review what changes

Procedures should be reviewed whenever systems, regulations, staffing, or customer expectations change. Outdated instructions create false confidence.
